2. Scope
This notice covers the CultureTies public website, waitlist, pilot-interest flow, and invited pilot workspace. A signed pilot or services agreement may add more specific instructions for client event data, recordings, integrations, security, retention, and the roles of the planner and CultureTies. Those specific terms control if they conflict with this general notice.
3. Information we collect
- Public forms and scheduling: work email, affirmative consent or requested-contact record, source, locale, timestamps, appointment details you provide through Google Calendar, and any optional planner profile you choose to complete.
- Security data: server logs and keyed identifiers derived from email and network address. We use keyed hashes rather than storing a raw IP address in the waitlist tables.
- Invited account data: name, email, authentication records, organization, role, and workspace activity.
- Pilot Project data: only when agreed for a pilot—planner notes, event information, messages, files, recordings or transcripts, vendors, schedules, budgets, decisions, model inputs and outputs, approvals, and audit history.
- Provider and billing references: connector identifiers, sync status, and subscription or invoice references when those services are enabled. Hosted payment providers process payment-card details; CultureTies is not designed to store full card numbers.
4. Why we use information
- To confirm and respond to a pilot request or provide an invited workspace.
- To send product and launch emails only when you separately opt in.
- To operate, secure, troubleshoot, and improve the website and pilot service.
- To create reviewable Event Brain proposals and requested outputs during an agreed pilot.
- To prevent abuse, preserve approval history, meet legal obligations, and establish or defend legal claims.
Depending on where you live, our legal basis may be your consent, steps you ask us to take before a contract, performance of a contract, our legitimate interests in running and securing the service, or compliance with law. You may withdraw consent at any time; withdrawal does not affect processing already completed lawfully.
5. Who receives information
We disclose information only as needed to:
- Hosting, database, authentication, scheduling, storage, and email-delivery providers, including Vercel, Supabase, and Google when you use the appointment link.
- AI or integration providers specifically enabled for an invited pilot and described in the applicable pilot terms or setup review.
- Professional advisers, auditors, insurers, authorities, or counterparties when reasonably necessary for law, safety, or a corporate transaction.
We do not sell personal information, use it for cross-context behavioral advertising, or provide a shared vendor-reputation network. We do not infer protected identity from a person’s name, food, ritual, or vendor history.
6. Cookies and tracking
The public landing page currently uses no advertising pixels, session-replay tools, or nonessential analytics cookies. After email confirmation, CultureTies may set one short-lived, HTTP-only cookie limited to the optional planner-profile endpoint. Signed-in users also use necessary authentication storage. Because we do not currently track visitors across sites, Global Privacy Control and Do Not Track signals do not change the public-page behavior. We will update this notice and request any required choice before adding nonessential tracking.
7. Retention and deletion
Confirmation links expire after 48 hours and privacy-action links after one hour. We keep confirmed waitlist or pilot-interest information until you unsubscribe, ask us to delete it, or the purpose ends. An invited pilot’s retention schedule is agreed before Project material is shared. A deletion request removes direct contact and profile data; we may retain a restricted keyed suppression or audit record only as needed to honor opt-outs, prevent abuse, comply with law, or establish legal claims. Backup copies age out under provider retention schedules.
8. Your choices and rights
You can ask to access, correct, export, or delete your information; unsubscribe from marketing; withdraw consent; object to or restrict certain processing; or appeal a denied request where local law provides those rights. Email info@cultureties.co from the address involved and state the request. We may verify identity before acting. You may also complain to your local privacy or data-protection authority.
9. International processing
CultureTies is based in New Jersey, United States, and its providers may process information in the United States and other countries. Before relying on a transfer that requires additional safeguards, we will evaluate and put the appropriate contractual or other safeguards in place. Pilot customers should not upload Project material until the applicable data terms, providers, and transfer position are agreed in writing.
10. Children, security, and changes
CultureTies is a business service for event-planning professionals and is not directed to children under 18. We use access controls, encryption-capable providers, tenant checks, approval gates, and audit records, but no online service can promise absolute security. We will post material notice changes here, update the effective date, and seek renewed consent when the law requires it.
